Chemical Stocktake Checklist: What to Record and Check

- A chemical stocktake should reconcile every physical container and storage location with the chemical register rather than merely count product names.
- Each record should distinguish shared product data from container-level facts such as quantity, location, condition, batch and expiry where relevant.

A chemical stocktake should prove that your register matches the containers actually present. Record identity, quantity, location, condition, label status, safety data sheet (SDS) link and assessment status, then assign every discrepancy to an owner. A spreadsheet count without physical reconciliation can leave duplicate, missing or unidentified chemicals hidden.
What should you prepare before a chemical stocktake?
Define the stocktake boundary, locations, roles and stop rules before opening cupboards. Include main stores, points of use, maintenance areas, cleaning cupboards, vehicles, waste holding areas, refrigerators, outdoor compounds and temporary project storage.
Prepare:
- the current chemical register, exported or accessible at the point of work;
- a location list or map with unique location names;
- product and container identifiers already in use;
- a discrepancy log with owner, priority and due date fields;
- suitable PPE and local handling instructions for normal inspection activities;
- escalation arrangements for leaks, damaged packaging, unknowns and unstable-looking materials;
- a safe method for checking high shelves or restricted areas;
- access to supplier SDS records and waste procedures.
Do not turn the stocktake into an unplanned handling exercise. If checking a container would disturb degraded packaging, an unknown deposit or an unsafe stack, stop and use the site's hazardous-material escalation process.

What should you record for each chemical product?
Create one controlled product record for information shared by multiple containers. This prevents the same hazard and document data being retyped differently across locations.

What should you record for each container or stock line?
Record container-level facts separately when they can differ between items. Two bottles of the same product may be in different rooms, have different quantities or need different follow-up.
Capture, where useful:
- unique container or stock-line ID;
- product record linked to the container;
- site, building, room, cabinet, shelf or vehicle;
- container size and estimated quantity remaining;
- number of sealed and open containers;
- batch or lot number where traceability matters;
- receipt and opened dates where your procedure uses them;
- manufacturer expiry or retest date where one exists;
- owner, department or cost centre;
- label readability and match to contents;
- packaging, cap, seal and secondary-containment condition;
- status such as active, quarantine, waste or pending identification;
- stocktake date and checker.
Do not invent an expiry date when the manufacturer provides none. A product's shelf-life controls and an SDS revision date answer different questions. Use the supplier's product information and your site rules for stability-sensitive materials.
How do you reconcile the physical stock with the register?
Check in both directions: container to register and register to container. A one-way walk finds unrecorded stock but can miss records for material that no longer exists.
- Freeze or track movements. Choose a quiet window or log receipts, transfers and disposals during the count.
- Work by location. Mark each storage point complete only after every accessible container is checked.
- Match each container. Use product code, supplier and concentration, not name alone.
- Count and estimate quantity consistently. Record the method where exact weighing is impractical.
- Tag discrepancies immediately. Use clear statuses such as missing from register, missing from location, duplicate, wrong location or identity conflict.
- Reverse-check the register. Investigate every expected item not found in the physical count.
- Reconcile movements. Separate timing differences from genuine losses or recording failures.
- Approve adjustments. Keep who changed the register, why and what evidence supported it.
A QR code can speed up opening the right record, but it cannot prove that a container was moved, emptied or relabelled correctly. The location and QR workflow should support the physical check rather than replace it.
What condition and storage checks should you make?
Inspect the storage condition without relying on the register's location field. A correct count can still conceal incompatible storage or failing packaging.
Check:
- containers are closed, upright and not leaking, bulging, corroded or visibly degraded;
- labels are attached, readable and consistent with the product record;
- incompatible substances are separated according to the site assessment;
- secondary containment is compatible, intact and not overloaded;
- shelves, cabinets and restraints are suitable and undamaged;
- required temperature, ventilation and protection from sunlight or moisture are maintained;
- flammable or dangerous-substance quantities at the point of use remain justified;
- aisles, exits, fire equipment and spill equipment are accessible;
- empty containers and waste are identified and managed through the correct route;
- stock is rotated under the site's first-expiry or first-in arrangements where appropriate.
HSE says DSEAR controls include reducing dangerous substances to a minimum, controlling releases and keeping incompatible substances apart (HSE DSEAR in detail). The stocktake can provide evidence for those controls, but it does not replace the storage or DSEAR assessment.
What should you do with unlabelled or unknown chemicals?
Do not guess an unknown chemical's identity or open it for an improvised test. Restrict access, keep people away from any leak or reaction signs, record the exact location and condition, and escalate to a competent person under the local emergency or hazardous-waste procedure.
Useful observations can include container type, visible label fragments, nearby records and storage context, provided they can be gathered without disturbing the item. Treat a handwritten nickname, colour or shelf position as a clue rather than proof.
Where safe, give the item a quarantine reference that does not pretend to identify the contents. Keep the original markings visible. Specialist identification, stabilisation or disposal may be needed depending on the condition and possible hazards.
How should you prioritise stocktake discrepancies?
Prioritise by potential harm and loss of control, not by how easy an item is to correct. Use a simple triage:

Close each action with evidence. “Move acids” is not complete until the approved destination, segregation and register location have been verified.
How often should you carry out a chemical stocktake?
Set the frequency from inventory movement, hazard, storage conditions and confidence in day-to-day records. Busy stores, mobile work, stability-sensitive chemicals and repeated discrepancies justify more frequent checks. A full stocktake can be supplemented by rolling location checks and exception reports.
Track useful measures such as unregistered containers, missing containers, identity conflicts, expired or degraded stock, unresolved SDS queries and overdue actions. Trends reveal whether receiving, transfer and disposal processes are improving.

Frequently asked questions
Do I need to count every chemical container?
The scope should be risk-based, but a complete reconciliation normally requires every in-scope container or controlled stock line to be accounted for. Bulk systems may use calibrated quantity records rather than individual-container counts.
Should empty chemical containers stay on the register?
Record and remove them through the site's waste and inventory process. Do not mark a container gone until any residue, label, disposal and location update have been handled correctly.
Can a QR scan replace a physical chemical stocktake?
No. Scanning improves identification and recording, but the checker must still confirm the container, quantity, label, condition and actual location.
What if the same product is stored in several rooms?
